Privacy Policy
Version of 17 September 2026
This policy explains what personal data the website of the Center for Energy Efficiency (Ladyzhyn) collects, why, for how long, and what rights you have. We collect only what is needed to reply to your request.
01Who processes the data
The controller of personal data is the Center for Energy Efficiency, Ladyzhyn, Vinnytsia region (the Center). Contact details are on the Contacts page.
02What data we collect
We process only the data you provide yourself on the site — via the request form, the assistant chat, or when registering a knowledge-base account:
- your name or how to address you;
- phone and/or email;
- the type of your organisation or site (e.g. HOA, business, community);
- the text of your request and, for chat requests, the conversation with the assistant;
- the page the request was sent from and the interface language.
03Why we process it
The only purpose is to handle your request: contact you, clarify the situation and suggest where to start. The legal basis is your consent, given by ticking the box in the form or sending a contact in the chat.
We do not use your data for mailings without separate consent and do not pass it to third parties for advertising.
04The assistant on the site
The assistant replies based on the site's materials. If the Center has an external language model connected, the text of your message may be sent to that model's provider to generate a reply. Do not enter passport data, card numbers or other sensitive information in the chat — it is not needed to answer your question.
05Knowledge-base account
If you register, we store your email, name and organisation (optional), your password as an irreversible hash (bcrypt), your plan and the date of your last sign-in. To enforce plan limits we keep a count of consultant requests (date and request type) without storing the questions themselves beyond your session.
Sign-in uses a technical session cookie valid for up to 30 days or until you sign out. The account can be deleted on request together with all related data.
06Paid services and invoices
If you order a paid service or plan, we process the payer's name and details, the amount and the issue and payment dates in order to issue an invoice. This data is kept for as long as accounting law requires (at least three years after the reporting period). The site does not collect or store bank card details.
07Cookies and local storage
The site uses no advertising or tracking cookies. Only technical preferences are stored in your browser: the chosen theme, language and the current assistant conversation within a session, so it does not disappear between pages. This data does not leave your device.
08How long we keep it
Requests are kept as long as needed to handle them and communicate about your project, but no longer than three years from the last contact unless the law requires otherwise. Spam and erroneous requests are deleted.
09Who has access
Only authorised Center staff have access to requests. Technical services (hosting, database, mail server) may be used to store data and send emails; they process data on behalf of the Center and may not use it for their own purposes.
10Your rights
Under the Law of Ukraine "On Personal Data Protection" you have the right to:
- know what data of yours we process and receive a copy;
- request correction of inaccurate data;
- withdraw consent and request deletion;
- object to processing.
- To exercise any of these rights, write to us via the Contacts page form or the email listed there. We reply within 30 days.
11Changes to this policy
We may update this policy. The current version is always published on this page with the update date.
